We will be hosting a beach photography shoot in Port Aransas, TX on May 13, 2017. Photographers will begin shooting promptly at 6:00am. Debbie, Mike, Becca (HMUA) and models plan to arrive the night before.
FEE – WHAT’S INCLUDED?
Photographer participation fee is $99+tax. The participation fee includes event permit, 2 paid models participating, HMUA and light set ups. Nothing else is included. Every vehicle requires a beach parking permit which costs $12 and is available at most gas stations in the area.
Transportation is not provided. A few photographers may get together and make arrangements to carpool. Please contact Debbie if you’re interested in carpooling down to the location. If you have a vehicle with an empty seat, please let Debbie know. If someone rides down with you to the location, that person must return with you.
2 paid models are included in the fee. They will be available to shoot beginning 6:00am while photographers will take turns shooting as per the schedule.
Model selections: Model selections are based on a specific criteria and the models have passed the audition requirements.
Additional models may participate for TFP. TFP models aren’t included in the fee. If any photographer shoots a TFP model, the photographer must provide at least 1 professionally edited, high resolution printable to at least 8″x10″. We expect to have 2 paid models and 2 TFP models.
If a photographer does not wish to shoot a particular model, whether paid or TFP, the photographer is able to sit his/her turn out but the flow of transitions must be kept to schedule.
Models will begin getting ready at 4:00 am to be ready to shoot by 6:00 am. Setup will begin at 5am on the beach on the morning of the 13th.
PROVIDING PHOTOS TO MODELS
You will not be required to provide paid models with any photos. TFP model requires photos to participate. If you do not wish to provide a photo to the TFP model(s), do not photograph her/them. If a paid model wants a photo you have taken, then you must make arrangements with the model to purchase photos directly from you. If a TFP model wants to purchase additional photos you have taken, then you must make arrangements with the model to purchase photos directly from you.
Photographer turns will be based on a lottery draw.
We are allowing 15 photographers to participate. Each photographer will draw a number to determine his/her place in line to begin. There will be 4 groups, 4 photographers per group. Your number will determine which group you’re in. If we receive a huge request, we will add an additional setup to accommodate 4 more photographers.
For photographers who arrive late, he/she will draw a number and be placed in the corresponding group and will begin to shoot when it is his/her turn. Late photographers will not have additional time to shoot. The rotations must continue to flow smoothly.
There will be light setups. 2 setups will be using strobes and 1 set up will be using speed lights.
RAIN OR SHINE
The shoot will take place rain or shine. Therefore there are NO REFUNDS. Once you have paid for your slot, it is confirmed. Spots are not refundable, transferrable and cannot be used for future events. If there is a hurricane or tropical storm evacuation, we will try to reschedule for another weekend.
Rain– If it rains during our time to shoot, we will shoot when the rain subsides. If we must wait a while, we can all wait at the rental house until the rain or storms pass. Stopping the shoot can only be determined by the host.
High Winds – We can still shoot with high winds (under 35mph) but modifiers cannot be used. Light modifiers can only be used for winds 20mph and lower. If the wind exceeds 35mph, we will need to wait until the high wind subsides. Stopping the shoot can only be determined by the host.
SUNRISE – what to expect:
For the sunrise portion of the shoot –
On a cloudy morning, we may not see the sunrise but will continue to shoot as the daylight starts to begin.
On a mostly cloudy morning, we may have a limited amount of time to catch the sun rising in the background and we will make an assessment at that time how much time each photographer will have to shoot for his/her turn.
On a partly cloudy day or no clouds, sun rising should be a good 45 minutes. After the sunrise, we will continue to shoot with more time allotted per photographer.
We must have a minimum of 7 photographers signed up by April 16th 11:59PM. If we do not get 7 photographers signed up by the cut off time, all photographers who have paid will receive a full refund.
TAG ALONGS & COMPANIONS:
Companions are allowed as long as they are not shooting. Only paid participants are allowed to shoot the models, even the TFP models.
Accommodations are NOT included in the participation fee. There are a few hotels in the area. Search sites like booking.com to find rooms. The cheapest I found was Seaside Motel on Port Aransas Beach. And its cheap, good for a place to sleep and shower, no bells and whistles. Rates are ~$92 per night.
Mike, Debbie, and Becca (HMUA) have rented a house on Mustang Island. The house is located about 15 minutes from the shoot location. The shoot location is on Port Aransas Beach.
Special Needs: There will be no assistance available for those with special needs. Please bring someone with you for assistance.
We will set up the lights in the early morning hours before sunrise.
Once our shoot is done, photographers and models are welcome to make arrangements to shoot on their own time.
Similar to project night, photographers may not use a tripod, light meter or additional lighting. These items prevent a smooth transitions between photographer turns.
Only the photographer shooting may speak to the model while he/she is shooting.
The lights must not be adjusted, especially during the sunrise portion. Use the prep time to adjust your camera for proper exposure.
Research! Before the shoot, learn your camera settings…learn the poses you would like your model to try. It is not recommended to learn your camera settings on a shoot like this. There will probably not be anyone to help teach you on how to work your camera.
This event is not limited to any age. We ask that if you are participating as a model or photographer, please DO NOT bring children as you will be focused on the shoot.
IMPORTANT: Limited to 4 model participants, and 16 photographers.
PLEASE READ THE FAQs BELOW.

***What is the cost?***
The cost to participate is $99+tax for photographers. 2 models are paid models, and additional models will be TFP. The models who are participating for TFP are working in agreement as TFP. In this case, TFP means Trade For Photos, meaning they would like to receive at least 1 high resolution photo printable to at least an 8″x10″ to add to their portfolios. We have signed model releases. Paid models do not require to receive photos but photographers can sell images to the models.
***Will there be models? Are they professional?***
We have several participants who will model who have committed to participate. We cannot guarantee the level of expertise they have but some have modeled before. The list of models can be seen on the Facebook Event page. As we sign models up, we will add them to the event page.
Makeup/Bodypainting is provided for 2 models in this shoot.
We are not providing wardrobe for this event. Wardrobe is provided by Patricia’s Suits.
***Will there be a scene setup and props?***
Yes. The studio will provide setups using studio strobe lights and speed lights. There is no need to bring anything for the set ups, just your camera. The strobe lights and speed lights will flash as you shoot.
***Will I be able to shoot?***
Yes, there is a limit of confirmed photographers to participate. The models and photographers will rotate for each light setup. There will be light setups, depending on the number of photographers who sign up. Photographers will take turns photographing at each set. Lights will be set up by 6am and the models are scheduled to be ready at 6am as well.
***Do I have to be an experienced photographer?***
Absolutely not! We all get together and show each other how we get results by learning/teaching how to change settings on our cameras as well as adjusting the light source. For this particular shoot, we ask that you have an understand on how to change your shutter speed, aperture, and ISO.
***Sharing photos online***
Although this is not a requirement, we are encouraging photographers to share their best photos from the session.
***Do I have to share if I’m a beginner photographer?***
Each TFP participating model is to receive at least 1 photo from each photographer who takes a photo of him/her. We understand that some photographers are just beginning, therefore, not quite ready to show their work online, and if that is the case, please send at least one photo directly to the model. For those of you that are ready to share photos taken at the event, please do so via Facebook or the Flickr album.
***How may I use the photos I take?***
The models have agreed to allow the photographers to use the photos for the photographer’s portfolios as well as advertising and other promotions, whether print or online. Each model release has a consent/does not consent option to allow the photographer to sell photos. Please refer to the model release of what can/can’t be done.
***Can I sell prints to the model?***
You are welcome to sell prints to the models and any transactions will be between the photographer and the model only. These transactions will take place without the studio and it is the photographer’s choice to decide what he/she will charge for prints.
***Can I sell photos/prints that I take at the event?***
You may sell photos that you take at the event but you must obtain written permission from the model who appears in the photo. The model releases for the event allow photos to be used for portfolios, advertising and promotions. The same goes for the model, the model must obtain written permission from the photographer to re-sell prints that he/she appears in. There is an option on the model release form for the model to allow photographs to be sold. Please refer to the model release and make sure to contact the model’s agent if one is specified.
***Is it required to credit the model/photographer?***
In all fairness, yes. It is required to give credit where credit is due. When sharing images, do not place text on the images, but rather provide credit in the comments or description areas. When sharing, please credit the photographer and the model when posting/publishing images online. It’s recommended to credit the HMUA and the wardrobe stylist when possible.
***Can the images be edited or modified?***
Images can ONLY be edited by the photographer. It is NOT ALLOWED to add filters, text or retouch images in any way. Photos must be left intact as they are received from the photographer.
***What if I don’t like a photo that I appear in?***
Politely ask the photographer to not use the photo or ask the photographer to remove your name from the credits. If you are not satisfied with a photo, then do not use it.
***Who owns the photos from Project Night?***
Photographers are the copyright owner of any photo(s) that they take using their own camera. It is the photographer’s decision to choose the resolution when resizing photos that will be shared online. Each model has been notified that he/she can only share the photos he/she appears in.
***Can I watermark my images?***
Absolutely! We strongly recommend that photographers watermark all of his/her images. Please be considerate and only place watermarks in areas that will not distract from the photo.
Photographers who violate the terms as specified on the model release, he/she will not be allowed to participate in shoots we host in the future.
